Playwaze Forms Explainer

For organisations that currently use custom data on Playwaze

This article is relevant for any organisation that has had custom data set up by the Playwaze team. If you have custom data set up on our platform then you would have recently received an email from us about the updates to forms. This article will tell you everything you need to know about what's changing.

Our new tools will allow you to build, edit and customise the way you collect data across the platform:

Self service data collection

Build and manage your own forms

Manage existing properties and create new ones

New design functions: logos, format and images

Preview your Forms


 

Transitioning your data:

We need to transfer your data into a new format so that it still works with our new forms tools. This transition will let you manage all of your current properties, create new properties, amend your current setup and build brand new forms.

 

Once we've released the new Forms feature:

  1. You can continue to use the system as normal. Your data collection and rules will all still be applied so you don't need to make any changes.
  2. Management of custom data will be in the Forms Management page in your networks or communities. 
  3. If you aren't sure, it's best to contact support before making any changes.

There are plenty of knowledge base articles that explain how to use the new form builder. We will keep you updated via email with news about forms and any further training or resources.

 


 

Unfortunately, we can't keep everything which might affect some organisations:

  • Groups

The Groups page is now for reporting purposes only. No rules can be set from the groups page - it is purely for building custom reports.


  • Manual Groups

Manual Groups that were created with no rules, where participants had been manually added by an administrator, will no longer work for eligibility.

These will have to be set up as a membership that participants are added to manually. You can add this membership to their profile in your members section or directly through the membership.

 

  • I am Not a Participant

This button will no longer be available at the bottom of your Forms for users to skip your data collection. These will be converted to a Dependent field where the user will need to select from a drop down option that they are not a participant.

 

  • Roles/ Pre set Groups

Can no longer be used for eligibility. We have made a decision to remove the roles/ pre set smart group eligibility from all past sessions, none of which are currently active.

 

  • A change to how you add AND/ OR rules

Instead of using multiple AND/OR groups, these will now have to be combined into one form. You will need to create multiple scenarios within one form. The new forms tools should make this simpler to understand.

For further context on the previous AND/OR rules setup, here are two examples:

  1. If two AND groups were used, the user would have to meet the requirements of both groups to pass the eligibility check.
  2. If two OR groups were used, the user would have to meet the requirements of either group to pass the eligibility check
